R&J Tours, Inc. (hereinafter R&J Tours), 1408 Willmar Ave SE, Willmar, MN 56201, in return for full payment by you of the amount specified, is responsible to arrange for the motorcoach, flight(s), accommodations, events, sightseeing, and other services specified in catalog.
Responsibility: These tours are arranged and operated by R&J Tours. R&J Tours acts only as an agent for our members in arranging lodging, air travel, ground transportation, sightseeing, admissions, and restaurants. No liability shall be incurred by R&J Tours because of personal injury, property damage, or any other loss, delay, or other complications, claim, or damage arising out of or related to goods or services offered or included. R&J Tours is not responsible for any delays or cancellations of air travel or any damages incurred from any disruptions in air travel. R&J Tours is not responsible for personal injury, property damage, or any other loss, claim, or damage related to or arising out of, in whole or in part, the acts or omissions of any direct air carrier or other transportation, hotel, restaurant, event, or other person not an R&J Tours direct employee or not under R&J Tours exclusive control supplying any services or providing any goods offered or included. R&J Tours is not responsible for personal injury, property damage or any other loss, delay, or complication, claim, or damage arising out of, either in whole or in part, acts of God, weather, government actions, mechanical breakdowns, acts of terrorism, diseases, epidemics, or other causes reasonably beyond R&J Tours control. In no event is R&J Tours responsible for incidental or consequential losses or damages. R&J Tours reserves the right to make any changes or alterations in the printed itineraries, dates, routings, or included features prior to or during the tour, as may be necessary for the smooth and efficient operation of the tour. R&J Tours also reserves the right to accept, decline, or retain any person as a participant of these tours at any time.
Securing Reservation: Your reservation is only officially secure after a deposit has been received by R&J Tours. To make a deposit, fill out the reservation form and mail it in along with a check. Feel free to call our office to be “penciled-in” and we will hold seat(s) for you for up to one week, allowing you a chance to mail in your reservation form & payment during that week. After one week has gone by, there is no guarantee that “penciled-in” seat(s) will still be available to you.
Home Front Door Pick-Up & Return: This service includes the entire Twin Cities area, from Willmar to I-94, from Alexandria to St. Cloud & south to Hwy 212. This service also includes Mankato & Rochester areas. Some towns and residences are not included because of distance. If you are not included in the shuttle service provided by R&J Tours, you will have the option of coming to Willmar or the Twin Cities the night before and R&J Tours will provide a complimentary room. Many times customers will go to their travel partner’s house the night before and get picked up there. Call to see if you are in the home pick up area. Cancellation Exclusions: R&J Tours reserves the right to modify it’s refund and cancellation policy when a sizeable amount of cancellation or delay of travel that is related to or arising out of: acts of God, weather, government actions, pandemics, mechanical breakdowns, acts of terrorism and war. In any one of these circumstances, R&J will issue your tour cost in the form of a travel voucher to be used within one year.
Airfare From Minneapolis: Airfare is included in the Tour Price for all Flyaway Tours from Minneapolis. We include surcharges and 1 standard baggage fee in the tour price! Airline tickets or e-tickets will be handed out on the day of the trip at the airport by your tour director. R&J Tours is not responsible for any delays or cancellations of air travel or any damages incurred from any disruptions in air travel, as it is out of our control.
Custom Airfare/Deviations: If you are planning on deviating from the group schedule, contact Christina, R&J’s Custom Travel Manager, who can make these arrangements for you. Please note that your deviated flight cost must be paid at the time of booking & it is non-refundable. You will be responsible for meeting up with the group upon arrival. No Smoking or Alcoholic Beverages on the Motorcoach: Breaks are given throughout each day.
Gratuities: Tips for all included features of your tour (baggage handling, included meals, taxi drivers, etc.) will be taken care of by your Tour Director. Tips for meals on your own or other services (Ex. Hotel Room Attendant) are at the discretion of each tour participant. Customary tips for Tour Director and Driver should be on a voluntary basis and given individually, not as a group, on the last night or day of the trip.
Travel Documents: They will be mailed approximately 10 days prior to the trip departure. Enclosed you will find two copies of your pick-up schedule, which will include departure & return times, and a list of hotel names, addresses, and phone numbers. Also enclosed will be luggage tags, medical forms to be filled out and brought with you on the tour, and a letter with “What to Know Before You Go” information. A complete daily itinerary will be handed out on the first day of the tour.
Seat Rotation: Seats are rotated throughout the tour so you can enjoy different areas of the coach and become better acquainted with travelers.
Luggage Handling: It is our pleasure to handle your luggage needs throughout the tour. One large suitcase per person is delivered to your hotel room each evening. It is your responsibility to handle your carry-on bag. You will be required to handle your own luggage at airport check-ins. A CPAP in an additional case is allowed.
Single Travelers: We have many single travelers that like and choose to travel alone with the luxury of having their own hotel room. Single occupancy pricing is higher because you are choosing not to have a roommate to share the cost of the hotel rooms. Single occupancy pricing does not guarantee that you will not have to sit by someone on the motorcoach.
Single Travelers Looking for Roommates: We will try to assist you in arranging a roommate for any person wishing to share accommodation at the double occupancy tour rate. Travelers looking for partners are responsible for meeting one another and deciding if it is a good match. R&J Tours shall not be held liable should the arrangement fail. Should a shared arrangement not be available, the single rate will apply.
Roommate Cancellation: If you are booked as a “double” and your roommate cancels their reservation, and you cannot find another roommate, and wish to still travel, you will need to pay the single supplement.
Airline Frequent Flyer Programs: If you are a member of an airline frequent flyer program and would like that number added to your reservation, please give the office a call. Please keep your ticket receipt until you have confirmation of credited mileage from airlines.
Travel Bucks: Travel Bucks will be credited to your account upon completion of your tour. Travel bucks can only be used towards future trips. Travel bucks can be accumulated up to half the price of any tour.
Baggage Responsibility: At R&J Tours we make every effort to handle your luggage with care, yet we cannot be responsible for loss or damage to luggage due to breakage, theft, or fair wear and tear through hotel, airline, or tour handling. It is also the responsibility of every passenger to make sure they do not leave anything on the coach at the end of a tour. If you leave something on the coach, shuttle, or taxi or at any accommodations, it will be the individual’s responsibility to assume any cost to attain belongings.
Right to Refuse: Although everyone is welcome on an R&J Tour, R&J Tours reserves the right to terminate the tour of any person who is abusive of others or whose behavior disrupts the tour. This also applies to any person incapable of meeting the physical rigors of the tour.
Travelers Needing Special Assistance: It is the traveler’s responsibility to inform R&J Tours at time of booking of any special needs or disability that requires special attention. R&J Tours will make reasonable efforts to accommodate those needs. Be aware that the ADA Act is only applicable in the U.S., so traveling outside the U.S. with a disability may be more difficult. R&J Tours cannot provide special individual assistance to tour members with special needs for walking, dining, wheelchair, scooter, or other personal needs. No R&J Tours personnel or our suppliers may physically lift or assist with any of these needs; therefore persons needing such assistance must be accompanied by an able companion who is fully capable of assisting them throughout the tour. Please note it is the responsibility of the traveler to pay for any expenses incurred for special arrangements that are provided by R&J Tours.
Service Dogs: Specifically trained service dogs are allowed but they must comply with the ADA Act regulations. Comfort/emotional pets are not allowed.
